Private AI Meeting Assistant: On-Device Notes & Minutes

What is a private AI meeting assistant?

A private AI meeting assistant records, transcribes, and summarizes your meetings without sending audio to the cloud. Inscribe links to your calendar, shows live captions, labels who spoke, pulls out action items and decisions, and drafts the minutes, all on-device. No bot joins your call, and no recording is uploaded to be processed.

Cloud meeting tools work differently. A bot dials into the call or your audio is streamed to a server, transcribed there, and stored on their systems. That is fine until the meeting covers a salary, a patient, a deal, or anything under NDA. A private assistant keeps the whole pipeline on the machine in front of you.

Is an AI meeting assistant private if it runs on-device?

Yes. When the assistant runs on-device, recording, transcription, summaries, speaker labels, and Q&A all happen locally, so the audio is never sent to a cloud AI or transcription provider. Inscribe processes the meeting on your iPhone, iPad, or Mac, which is why it also works with no internet connection.

To be exact: the AI pipeline is 100% on-device. Optional iCloud sync is off by default, and usage analytics are anonymous with no account. If you send action items to Apple Reminders or an event to your calendar, that write-back goes to the system app you already sync, not to an Inscribe server.

What the assistant does before, during, and after

Before: calendar linking

Link a recording to the meeting on your calendar so the notes carry the title, time, and context. No dialing a bot into the call and no sharing a meeting link with a third party.

During: live captions and speaker labels

Full-screen, high-contrast live captions let everyone read along, and on-device diarization labels who is speaking as it happens. If your name comes up while you were heads-down, a name-mention alert flags it. Hands-free voice commands can capture an action item, a decision, or a key point in the moment (English only).

After: minutes, action items, and Q&A

When the meeting ends, Inscribe drafts the minutes and pulls out action items and decisions automatically. Summaries come in several styles: concise, bullets, structured, detailed, action items, or outline. Ask Inscribe answers follow-up questions across the transcript and your other meetings, with citations. Smart Drafting can turn the recording into finished minutes or a follow-up note.

Recording an in-person meeting

For a meeting in a room, start a live recording and let the assistant caption and label speakers as people talk. Nothing needs a network. For a remote meeting on a Mac, system audio capture can read the call from the meeting app directly, which is a macOS-only capability. On iPhone and iPad you record the room live or import an audio or video file of the call afterward.

Choose your model

Pick the transcription model, Apple Speech built in or Whisper Tiny, Base, or Small, and the on-device intelligence, Apple Intelligence or the downloadable Qwen 3 0.6B. Auto selects the best available. No cloud model is involved, so your meeting is never read by an outside service.

Languages and export

Transcription and summaries cover 15 languages. There is no translation feature, so notes stay in the language spoken. Export the minutes to PDF or text with an optional summary, Q&A, and full transcript, and push action items to Apple Reminders.

Getting started

Inscribe is free to download with a free tier, so you can run one meeting end to end before choosing a plan. There are no per-minute fees, and a Lifetime option means no subscription. Link a meeting, start recording, and read the drafted minutes when it wraps.

Frequently Asked Questions

Does the meeting assistant send a bot to my call?

No. Inscribe records on your device instead of dialing a bot into the meeting. On Mac it can capture system audio from the call directly; on iPhone and iPad you record the room or import the audio file.

Are the meeting notes actually private?

Yes. Recording, transcription, summaries, speaker labels, and Q&A all run 100% on-device with no cloud AI provider. Audio is not uploaded. Optional iCloud sync is off by default.

Can it label who said what?

Yes. On-device speaker diarization labels each speaker as the meeting happens, and a name-mention alert flags when your name comes up, all without sending audio to a server.

Does it draft meeting minutes automatically?

Yes. After a meeting, Inscribe drafts minutes and extracts action items and decisions on-device. Smart Drafting can turn the recording into finished minutes or a follow-up note.
